    Feedback is essential, and you as a leader must realize the importance of receiving and delivering it. Feedback is no pat on the back or a drop in the bucket; it is something much more. Keeping in mind the importance of feedback, you must follow the proper protocols for delivering and receiving feedback from your employees.

    Giving constructive feedback to employees is a significant part of your job, and you must live up to it. Some of the tips you can follow here include:

    Be Specific

    Avoid general statements such as, ‘Your work needs improvement’ or ‘Your reports could have been much better.’ Rather than giving such information, you must be specific and pinpoint whatever you think needs improvement.

    Tell them the specific aspects of the report and their regular job schedule that you don’t like. Give them an indication of what’s wrong and allow them to improve that. Please don’t keep your employees in the dark, as they can only fix what they know is broken.

    Don’t Wait for Appraisals or Reviews

    Often, leaders wait for quarterly reviews or appraisals to give their feedback. This feedback should regularly be provided so that the employees recognize what is going wrong in their performance and how they can help improve that.

    No employee appreciates being told that their performance is below par and they need to up the game. Especially if the feedback blindsides them, build it upon them gradually so that your employees have a chance to up their game by the time your quarterly reviews happen and are performing better.

    Make it One-on-One

    The number one rule of giving feedback is never to criticize an employee in front of others. Employees never appreciate public criticism, and they would feel humiliated.

    The best pattern to follow is to give appreciation in front of everyone and criticism behind closed doors. However, it is best to take this decision individually, rather than following the same pattern for everyone.

    Some employees do not prefer being the center of attraction, which is why it will suit you best to take them to your office and give them the appreciation they deserve.

    Use the Sandwich Method

    A sandwich method is a popular approach for delivering criticism to your employees. It is an approach where you provide cushioned negative feedback inside a sandwich of positive feedback. For instance, if you have called over an employee for a meeting where you plan to deliver negative feedback, you must start by mentioning some positive aspects of their work before giving the criticism.

    Once you have delivered your criticism, you should end the meeting positively with other highlights or aspects of their work you like. You do not want them to get a negative impression from the summit. This approach helps you get your point across without brewing hostility in the workplace.

    Communication is Two-Way

    Communication is always two-way, meaning both parties should listen to each other. If you feel that a specific employee hasn’t been performing well, you don’t just call them in and criticize them. Instead, you try to give them a chance to explain the dip in performance. Hear them out and see if they have some domestic trouble or health troubles going on in their life.

    Encourage the person presenting their feedback to talk and speak openly about what is troubling them. Even if you have reservations about what they say, do not immediately call them out for coming to you with what they have in mind. Let them know that you appreciate their courage to come to you and take their feedback seriously.

    Be Respectful

    Being respectful is an integral part of your job as a leader. Whenever an employee delivers negative feedback about you or anything else, ensure that you are respectful and hear them out. Besides keeping an eye on what you say, try to measure your facial expressions, body language, and tone.

    Do not scoff at what they are saying, and do not roll your eyes. Please do not get defensive when they are talking, and do not cross your arms. If you disagree or are upset with what is being said, you shouldn’t react to it immediately. Please respond to the feedback, but do not react to it.

     Ask Questions

    Your interest is likely to pique once someone provides informed feedback on you and asks where you started it all. However, instead of getting defensive or aggressive, you should ask questions to understand what could have instigated their behavior.

    Make a Decision

    Once you receive the feedback, it is your job to reflect on it and decide how you should use it. Make a decision related to the matter, and ensure that you can improve the aspects of your job pointed out in the input.

    Delivering and receiving feedback are two essential parts of the job. In such cases, you must consider the deliverer or recipient equal. Please treat them with respect and make sure they are heard.
